# WhatsApp Flow Booking System — Delivery Report

## Overview

We have built a complete WhatsApp-based meeting booking system inside your platform. When one of your customers (a "user") connects their WhatsApp Business account to the platform, the system now automatically gives them a professional booking form that their leads can fill directly inside WhatsApp. When a lead submits the form, a real meeting is booked, a Google Meet link is generated, and a calendar event is created — all without any manual work.

This brings your platform's WhatsApp AI experience closer to professional booking tools like Calendly, but entirely inside WhatsApp.

## The Goal

Previously, when a lead asked for a meeting on WhatsApp, the AI would have a long back-and-forth text conversation asking for preferred date, time, type of meeting, and so on. This created several problems:

- Conversations felt slow and unnatural.
- The AI sometimes misunderstood dates and times.
- Leads had to type out everything in chat.
- There was no guaranteed way to collect all required details.

The new system replaces that long conversation with a clean, pre-designed form that appears inside WhatsApp. The lead taps a button, picks a date, picks a time slot (only available ones are shown), picks a meeting type, and submits. Everything else happens automatically.

## How It Works

### 1. User connects WhatsApp
Your customer logs in to your platform and connects their WhatsApp Business account as they always have.

The system immediately:
- Creates a booking form (a WhatsApp Flow) inside their own WhatsApp Business account.
- Saves a record of that form linked to their user ID.
- Uploads the security key required for Meta's secure messaging.
- Sets the backend endpoint so Meta knows where to send form submissions.

All of this happens in the background. The user does not need to do anything technical. They just see that their WhatsApp is connected.

### 2. Lead sends a booking request
A lead on WhatsApp sends a message like:
- "Book me a meeting"
- "I'd like to schedule a call"
- "Can I get a demo?"
- "Please arrange an appointment"

The system detects the booking intent.

### 3. Form is delivered
The lead receives two things on their WhatsApp:
- A short friendly text message (the system rotates between four different messages so responses feel natural, not scripted).
- A booking form card with a **Book Now** button.

### 4. Lead fills the form
When they tap **Book Now**, a form opens inside WhatsApp containing:
- Full Name
- Preferred Date (calendar picker)
- Time Slot (only available slots for the chosen date — the system checks existing bookings, working hours, holidays, buffer time, and Google Calendar conflicts)
- Meeting Type (e.g., Consultation, Demo, Phone Call, Video Call)

### 5. Submission is processed
When the lead taps **Confirm Booking**:
- A new Meeting record is saved in the database.
- A Google Meet link is generated on the user's connected Google Calendar.
- A Google Calendar event is created automatically with the lead's details.
- A confirmation message is sent back to the lead on WhatsApp with the meeting date, time, and Meet link.

### 6. The user stays in control
The user can at any time:
- Open their builder UI to edit the form (add or remove fields, reorder them, change labels).
- Saving edits automatically replaces the old form with the new version on WhatsApp.
- Reschedule or cancel any meeting — both the database and the Google Calendar event are updated in sync.

## Key Features

### Multi-tenant
Every user has their own booking form on their own WhatsApp Business account. No data is shared across users.

### Automatic availability checking
Slots are filtered using each user's own schedule:
- Their working hours (per day of the week)
- Their timezone
- Their buffer time between meetings
- Their blackout dates (holidays, off-days)
- Their existing meetings in the database
- Their Google Calendar events
- Their minimum notice period
- Their maximum bookings per day

Leads only see slots that are genuinely free.

### Duplicate protection
Two leads cannot accidentally grab the same slot. The system uses a unique database index to guarantee this even if two people submit at the exact same moment.

### Multiple bookings per lead allowed
A lead can book more than one meeting. The system is smart enough to allow a second booking immediately after a successful first one, while still protecting against accidental spam.

### Customizable form builder
Users can add, edit, remove, or reorder fields using ten supported field types: Text, Long Text, Number, Email, Phone, URL, Date, Time Slots, Dropdown, and Checkbox.

### Smart conversation handling
Once the form has been sent to a lead, the AI clears its memory of the old text-based booking conversation so future messages (like "Hello") get normal replies — not repeated meeting questions.

### Secure end-to-end
All form data between Meta and the server is encrypted using RSA + AES (Meta's required standard). The signing key was generated and installed on the server; its matching public key is uploaded automatically for each user.

### AI integration
When the AI agent running on WhatsApp detects meeting intent, it automatically sends the form instead of going into a text conversation. The user's AI agent never has to worry about collecting date/time details manually.

### Reschedule and cancel
The platform exposes APIs for rescheduling and cancelling meetings. Both update the Meeting record, the Google Calendar event, and notify the lead via WhatsApp.

## What the User (Your Customer) Experiences

1. Connects WhatsApp → form is ready automatically. No setup screen, no configuration steps.
2. Opens the form builder and customizes it if they want (optional).
3. Their AI starts receiving leads normally; when a lead asks for a meeting, the form is sent automatically.
4. New bookings appear in their dashboard and on their Google Calendar.
5. They can edit the form anytime; old one is replaced cleanly.

## What the Lead Experiences

1. Chats with the AI normally on WhatsApp.
2. Asks for a meeting.
3. Receives a short confirmation message.
4. Gets a form card with a **Book Now** button.
5. Taps it, fills four fields (Name, Date, Time, Type), taps Confirm.
6. Immediately receives a confirmation message with the Google Meet link.
7. Shows up at the meeting.

The entire flow takes less than one minute.

## Technical Reliability

- Responses between Meta and the server follow the v3.0 data API standard.
- Meta's health check runs automatically every few minutes; the system responds with the correct format.
- If a submission is accidentally retried by Meta (which happens occasionally), the system detects and prevents duplicate bookings.
- If a user's WhatsApp access token ever expires, the system flags their account so they can reconnect.
- Timezone handling supports leads and users in different countries.
- Works with Meta's official Flows v7.0 (latest stable).

## Going Live

When the system is deployed from the development environment to production, the following steps are required:

1. Update the public base URL in server configuration to your production domain.
2. Ensure the production server runs on HTTPS (required by Meta).
3. Re-sync the endpoint URL on existing flows (one API call).
4. Keep the RSA key pair secure in the production environment variables.

No code changes are needed to go live. The system is already production-ready and has been tested end-to-end in development.
